Letter to Volunteers

Dear Summer Camp Volunteers,

Thank you for volunteering to assist with the 2025 Horse Camp Adventures program at Horses for Hope! We are thrilled to welcome you to what promises to be a summer full of learning, adventure, and unforgettable memories.

My name is Emma Stanley, and I am honored to serve as your Camp Director for the 2025 season. With a background in teaching and curriculum development, I’ve enjoyed crafting this summer’s program in collaboration with our incredible team of counselors. Please review the following guidelines to know what to expect at camp as a volunteer, as well as rules regarding food, cell phones, and more.

Volunteer Requirements

  • Volunteers must be at least 15 years old.

  • Volunteers must wear closed shoes each day and should bring a water bottle, hat, bug spray, sunscreen, etc. No crocs or sandals allowed.

  • Volunteer registration is required. If you submitted a volunteer registration form prior to January 1, 2025, please complete a new form.

  • Volunteers under 18 must have parental approval and complete the Family Volunteer Form at horsesforhope.org/our-volunteers.

  • Volunteers 18 and older should complete the Individual Volunteer Form available at horsesforhope.org/our-volunteers.

  • Volunteers will use When2Help to sign up for volunteering shifts. (Please e-mail Whitney at whitney@horsesforhope.org if you have not been signed up for When2Help).

  • Volunteers should join the Summer Camp Volunteers WhatsApp group, which is where volunteers can ask questions, let the counselors know if they’re running late/unable to attend, etc.
    • Please e-mail Emma at emma@horsesforhope.org for the invitation link.
    • Once you’ve joined, you’ll also have access to other Horses for Hope WhatsApp groups, such as Standard Lesson Volunteers, Events, and more.
    • WhatsApp can be used on your computer or downloaded on a smartphone.

Arrival Times & Attendance

  • Standard Camp (full and half-day): Arrive by 7:45 AM (camp begins at 8:00 AM).

  • Peewee Camp: Arrive by 8:45 AM (camp begins at 9:00 AM).

  • Upon arrival, sign in and check in with your assigned camp counselor(s) for instructions.

  • Volunteers who maintain perfect attendance for at least one full week of camp will be eligible for a Volunteer Appreciation Trail Riding Lesson at the end of each camp month. Eligibility is subject to horse and instructor availability, as well as weather conditions.

Food & Lunch Policy

  • All volunteers are encouraged to bring their own labeled lunch/snack bag and water bottle. No food deliveries (e.g., DoorDash, UberEats, GrubHub) are allowed.

  • If you are able to drive (ages 16+), you may leave the property to get lunch as long as you are back by the end of lunch time. Please let a counselor know that you’ll be leaving the property for lunch.

Electronics Policy

  • Volunteers may not use cell phones or electronic devices during the camp day while working with campers — only during breaks, lunchtime, or for emergency purposes/checking in with family.

  • Phones can be stored safely in the office.

Emergency & First Aid

  • In the event of an emergency with a camper, parents/guardians will be contacted and an incident report will be completed.

  • First-aid kits are available in the office and tack room.
